How School Web Check uses information about schools and head teachers

Who we are
School Web Check is run by William Pridmore, a sole trader trading as School Web Check, School Web Check, c/o Pavilion Club, 81-83 Fulham High Street, London SW6 3JW. Email: william@schoolwebcheck.co.uk.
William Pridmore is the controller of the information described in this notice. That means he decides how and why it is used.
What we hold and where it comes from
- From the Department for Education's Get Information about Schools register (get-information-schools.service.gov.uk), which is public: the school's name, reference number (URN), type, address, phone number, website and trust, and the head teacher's title and name. We do not use head teachers' names in our emails; we address them to “Dear Headteacher”.
- From the school's own website: the school's general office email address (for example office@ or info@).
- The results of our automated check of the school's public web pages against Department for Education publishing guidance. To run the check, our software saves copies of the school's public web pages and documents. These can include names of staff or others that the school has published. We use these copies only to produce and check the results, never to contact anyone.
- If you reply to us: your name, email address, any job title or contact details in your email signature, and what you write.
- If you ask us not to contact you: the school's name, reference number and email address, and the date, on our “do not contact” list.
We do not collect information about pupils, staff personal email addresses, or any sensitive (special category) information.
Why we use it, and our lawful basis
- To email schools, at most twice, about a free check of their website and our paid services.
- To send a school its free pre-check report if it asks for one, and to reply when you get in touch.
- To keep our “do not contact” list, so that we don't contact a school again after it has opted out.
Our lawful basis is legitimate interests: offering a relevant service to schools in a business context, and respecting opt-outs. We have written an assessment balancing our interests against yours. Ask us for a copy.
We do not make decisions about people using automated decision-making or profiling. Our automated check is about a school's website, not about any person.
Who we share it with
No one, except the service providers who process it for us under our instructions: our email provider (Apple (iCloud Mail)) and the host of this website, Cloudflare. We do not sell or rent information to anyone.
If any of these providers stores information outside the UK, we will only use providers covered by UK “adequacy” regulations or by appropriate safeguards (such as the ICO's International Data Transfer Agreement). Ask us for details.
How long we keep it
- If a school doesn't reply, we delete its details, and our copies of its web pages, within 12 months of our last email.
- If you reply, we keep our correspondence for 12 months after our last contact. If the school becomes a customer, we keep the business records the law requires (for example for tax) for as long as it requires.
- If you ask us not to contact you, we keep just the school name, reference number, email address and date on our “do not contact” list for as long as we market to schools, so that we don't contact you again.
Your rights
- Object to marketing: you can ask us to stop using your information for marketing at any time, and we will stop. This right is absolute.
- Ask for a copy of the information we hold about you.
- Ask us to correct it, delete it, or limit how we use it.
- Object to any other use of your information based on our legitimate interests.
To use any of these rights, email william@schoolwebcheck.co.uk or reply to any of our emails. We will respond within one month.
If you are unhappy with how we have used your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint.
How to opt out
To stop hearing from us, either:
- reply “unsubscribe” to any email from School Web Check, or
- email william@schoolwebcheck.co.uk with the word “unsubscribe” and the school's name.
We act on it straight away and add the school's email address to our “do not contact” list. We won't contact the school again about our services.
